ADDRESS BOOK
 
The Address Book in most e-mail packages provides a convenient place to store contact information for easy retrieval.  Some, Microsoft Outlook and Outlook Express, also allow access to Internet directory services, which can be used to look up people and businesses on the Internet.  Some of the features and advantages of e-mail address books include the fact that you can:

Store important accurate information about the people and groups who are important to you
In the address book, you can store:
  • e-mail addresses,
  • home and work addresses,
  • phone and fax numbers,
  • digital IDs,
  • conferencing information,
  • instant messaging addresses,
  • and personal information such as birthdays, etc.

You can also store individual and business Internet addresses, and link directly to them from your address book.  The real advantage of the system is that once you have the person's e-mail address entered accurately you will not make a mistake in terms of the exact e-mail address details when sending them an e-mail.

 
Find people and businesses by using directory services
Directory services enable you to look up names and addresses of people and businesses on the Internet.
 
Create groups of contacts for mailing lists
You can create groups of contacts to make it easy to send the same e-mail to a group of people at the same time.  Any time in the future you want to send a new e-mail to the same group you can do so by selecting the group.  If you have a large number of names in your address book grouping is a good way to organise your address book into say friends, people in the office, etc.
 
Share your address book with other users
Many popular e-mail programs including Microsoft Outlook Express, Microsoft Exchange, Eudora Light/Pro, Netscape Communicator, allow the exporting of text as comma-separated values (CSV) files.  This means that you can share your address book with users of these applications by exporting and importing using the CSV format.
 
Import names from other address books
This is the opposite of sharing your address book with others as detailed above.  If you are using an e-mail program that supports the CSV format you can import addresses from other people.
 
Send and receive business cards
A business card in e-mail terms is an electronic version of the paper card which contains your personal details as appear in your e-mail registry.  When you send an e-mail you can attach the business card to the e-mail thus saving you the effort of typing all your details in the e-mail.  When your e-mail is received details from the card can be automatically placed into that persons address book.
 
Print all or part of your address book and take it with you
You can print your address book to add to your personal organiser.
